Task Permissions
Right people. Right task. Right time.
Restrict who can see or complete each task inside a flow. Sensitive steps stay hidden from the wrong eyes, and access can be granted manually or driven automatically by what's filled in.
The problem
Most workflows mix routine work with steps that require restricted access — legal review, salary discussions, security incident triage. Without task-level permissions, teams end up splitting one process into separate templates per role, or copy-pasting sensitive data into a parallel tool just to control who sees it.
How it works
- 1
Pick a permission mode for any task
Three modes per task: "Same as the flow" (inherits run-level access), "Only specific people or groups", or "Everyone except some people or groups." No need to fragment your flow into separate templates.
- 2
Choose access level per principal
For each user or group granted access, pick "Can view" or "Can view and complete." View-only is perfect for stakeholders who need visibility without becoming responsible for execution.
- 3
Drive permissions with rules (optional)
Use logic rules to grant or revoke access dynamically based on field values: high-risk cases unlock the legal review task; flagged transactions reveal the fraud investigation step. Permissions adapt to each run, no manual intervention.
- 4
Restricted tasks stay invisible — by design
Users without permission see a redacted placeholder where the task should be, with title, description, fields, and assignees fully hidden. Audit log still records every grant and revocation for compliance review.
Used by teams like
HR & People Ops
Compensation review hidden until manager sign-off
The salary adjustment task is restricted to HR and the direct manager. Other reviewers in the same flow see only the steps relevant to them — performance evaluation stays open, comp decisions stay private.
Compliance & Audit
Sensitive evidence locked to compliance officers
When a flagged transaction triggers an investigation, a logic rule grants access to the compliance team only. Operations runs the rest of the flow without ever seeing the restricted evidence.
Legal
Legal review carved out from the broader process
Contract negotiations include tasks the rest of the company should not see. Legal gets exclusive access to the review and redline tasks; everyone else sees that there's a step in progress, nothing more.
Granular access without splitting your flows
Run one process end-to-end while keeping sensitive steps in the right hands.
