External Participants
Half of the process happens outside your team.
Share specific tasks of a flow with someone who doesn't have a Cadenio account: a supplier sending KYC, a client uploading a signed document, a third party answering a checklist. They act directly inside the task, and every event lands in your audit trail.
The problem
When part of a process depends on someone outside the company, work fragments into email threads, WhatsApp messages and zipped attachments. Status lives in someone's inbox, documents arrive out of order, and there is no audit trail of who sent what, when.
How it works
- 1
Pick the tasks to expose and the participant's email
From any running flow, select the specific run-tasks that should be visible externally. The rest of the flow stays private. Add the participant's name and email — no Cadenio account required on their side.
- 2
Set permissions, expiration and an optional password
Choose what the participant can do: fill fields, upload files, read attached files, comment, complete the task. Set an expiration (default 7 days, max 90) and add a password if the content is sensitive.
- 3
Participant gets a secure link and acts inside the task
An email invite is sent automatically. The participant clicks the link, accepts the LGPD/GDPR consent notice, optionally enters the password, and sees a focused view of just the assigned tasks — same form, same uploads, same completion experience as internal users.
- 4
Every action lands in your audit trail
First access, every field change, file upload, comment and completion is timestamped and tied to the participant's email. Revoke the share, rotate the token or change the password at any moment — the link instantly stops working.
Used by teams like
Procurement & Supplier Management
Supplier sends KYC documents straight into the qualification flow
The procurement analyst shares the document-collection task with the supplier's email. The supplier uploads CNPJ, contract draft and certificates directly into the flow. No back-and-forth attachments, every upload tied to the right supplier with timestamp.
Legal
Client uploads a signed contract into the matter intake
The matter intake flow shares one task with the client. Client uploads the signed PDF and answers two clarifying fields. Once submitted, the task completes and the next internal step unlocks. No more chasing PDFs over email.
HR & People Ops
Background check provider submits results into the hiring flow
The third-party background-check provider receives a link scoped to a single task. Results come back as a structured submission, attached to the candidate's hiring run with full audit history. Recruiters never re-key data from a PDF.
Stop running half your process by email
